What is Auto Top Up?

Auto top up is setting that can be applied to Contracts with a limited class count (Unlimited Contracts do not have the option of Auto Top Up since it is irrelevant for unlimited number of classes). Auto top up immediately refills a Contract's class count when it reaches 0 classes. This allows customers to always have classes available so that they can book without having to wait for the next payment to kick in; It advances or accelerates the next payment cycle in the Contract.

Why use Auto Top Up?

Normally without Auto top up, customers have to wait until their Contract renews for their class count to replenish. For example a customer buys a monthly contract with 10 classes, once they use up all 10 classes for that month they will need to wait until next month when their contract renews to replenish the 10 classes. With Auto top up, the zingfit system will immediately renew the contract after they reach 0 classes regardless of the next renewal date. The new renewal day will be the date that the Auto top up happened.

How does it work?

With Auto top up, the zingfit system will immediately renew the contract after they reach 0 classes regardless of the next renewal date. The new activation and renewal date will then be based on the day that the Auto top up happened.

Customers must have a credit card on file for Auto top up to work successfully because the system will charge them for the next payment. If a customer does not have a credit card on file, or the card is declined, the Contract will be reported under Failed Billing and the class count will not replenish. If a Contract is setup to Allow Debit, the Contract will renew normally, but the customer will now have a debit owed to the Studio.

Setup

Upon creating a Contract, set the "Is Unlimited" to "No" and add a specific class count. Once you continue to the next page in the configuration, set the "Auto Top Up" option to "Yes".

Note: The Auto top up setting is retroactive, which means that enabling or disabling this setting for a Contract will affect previous Contracts that have already been purchased by customers.

Refunds

Note: After the Auto top up is triggered, and a 2nd (or 3rd, etc.) package has been sold, the original package (and transaction) is only represented within the History panel in a customer's Series/Package profile section, which does not give the option to void or refund.

FAQ

- Customers are being charged multiple times for contracts! What's happening?

A lot of times we see that our Studios run into a situation where it appears that zingfit is charging customers more than once for a payment, however we normally see that customers are using up all of their classes at once, and hence the Auto Top Up feature is kicking in immediately as well. So if a customer purchases a contract and immediately uses up all of their classes, Auto Top Up will renew their contract, replenish the class count, and charge them again for this renewal.
