What are Roles?

Roles allow the studio to configure what employees of the Studio can access, as well as what permissions they have when using the Booker options like the Register.

The zingfit system is delivered to studios with four predefined User Roles: Employee, Instructor, Manager, and Admin. Here is an outline of the predefined Roles:

  1. Employee - has access to the Booker for class enrollment, customer services, and point-of-sale transactions. Employees can see the class schedule in the Scheduler, but cannot edit the schedule.

  2. Manager - has full access to the Booker, and Scheduler, and limited access to Admin for non-financial reports.

  3. Instructor - access to the Booker is limited to only classes for which the Instructor has been scheduled. In the Scheduler, Instructors can view the entire class schedule but can edit only those classes for which they have been scheduled.

  4. Admin - full access to the system including financial reports.

To access Roles: Admin > People > Roles.

Adding User Roles

Studios have the ability to either customize existing Roles ( Edit Icon ) or to add new ones (+ Add Role). Creating Roles based on a predefined role is a good means of altering a Role's permissions to accommodate a subset of that Role's Users.

Each Role has required a Name. The Use for Instructor option creates a limited Role for class instructors where Booker access is limited to only classes for which the Instructor has been scheduled and, in the Scheduler, Instructors can view the entire class schedule but can edit only those classes for which she has been scheduled.

The Permissions section provides functionality access and limitations. The System Access sections allow you to set navigational limitations controlling which sections of zingfit are viewable by a set of Users.

Best Practices

  1. Consider not giving any role but the Admin the Switch Studios for Register Sales as this permission will allow the location of the register to be changed, resulting in the sales going to another studio. If this is set once by the Admin and not an option on other Roles this situation is far less likely.

  2. The Access System From Anywhere permission should be given to anyone that has a need to log in from anywhere outside of the studio. Certain Roles may want this like the Admin, Manager, and Instructor, but others like the Employee Role may never have a need to log in elsewhere.
