Bulk freezing, unfreezing or modifying freezes

As studios begin to reopen following a difficult year that was punctuated with lockdowns amid a global pandemic, our support team has put together an article outlining common issues and useful information for studios who have implemented bulk freezes to better serve their client base.

Bulk Freeze Requests:
For more information on what a bulk freeze/unfreeze is or to make a request, please reference our article on that topic, here. Please note, that we do require 2 full business days to process these requests.

In early 2020, as our studios first began requesting the ability to implement bulk freezes. Below are some things to note as you begin to unfreeze packages:

  • When a package is unfrozen, customers will be able to book, however at that point the package will become active and the clock will effectively begin 'ticking' towards the expiration or billing date of that package.

  • Our team is not able to bulk change expiration dates for clients' packages, so studios will need to consider how far in advance they want to activate packages and allow booking while considering that customers will be forfeiting days on those packages as long as the booking is allowed.

  • For some studios, simply moving activation dates on packages forward for all customers for whom those packages were frozen, may be an effective solution to this. This would need to be done manually, on the studio's end (by navigating to each customer's account, selecting the Series tab, and editing the package, then setting a new activation date).

  • There may be exceptions where this is not practical or possible. In those instances, we would recommend that comping a package of similar value to what customers have lost during the pre-opening booking window, or expiring the existing frozen package and comping a new package altogether, are the best alternatives.
