Setup of Register Closeouts

The Register Close-out functionality creates a means for studios to use a computer as a cash register terminal. While the terminal is active, the system tracks Register (POS) transactions made on the activated computer. Studios can set up multiple terminals per location and each will track respective transactions. At the end of the day, studios can create a close-out report to reconcile transactions with cash & checks on hand.

1. Daily Closeout – One-time activation

You will need to activate a specific computer per studio. To activate a computer, go to: Admin > Scheduling/Retail > Register Closeout > Terminal Setup. The Register Closeouts screen will display.

Click on “Terminal Setup” and the Register Terminals screen will appear. Click on the "Activate this computer as a register terminal" button to create a new terminal, or select an existing Register for your location. Click “Activate as this terminal” to start tracking transactions made through the terminal. If you run into any issues, make sure the computer browser is set to accept cookies.

2. Setting up Denominations

Once the terminal/cash drawer has been activated you are ready to add Denominations, which are your currency units, such as pennies, nickels, dimes, quarters, dollars, etc. On the Register Closeouts page, click the "Denominations" button.

Then click to "Add Denomination", you can name the Denominations and set a Currency Value. The Currency Value is the percentage of 1 unit of currency. For example, a denomination for a Quarter would be ".25" since it is 25% of a dollar.

3. Close out a terminal

To close your terminal, you will need to be in the Booker. Next to the username at the top left, you will see the gear icon. Click on the gear icon and select “Register Close Out.”

Once you have selected the “Register Close Out” option, the below screen will display. Fill in the fields according to the cash and check on hand, and the system will calculate any discrepancies. Studios may want to print the close-out page to include the end-of-the-day receipts and cash. Click “Close Out.”
