Freezing a Contract

zingfit allows the studio to freeze a contract to pause all billing until a specific future date. Freezing a series or contract will prevent that series/contract from being used to book classes within that freeze window. After the freeze ends, clients will be able to book classes again.

Notes on Freezing Contracts:

  • Freezing a contract will change the activation date for that contract moving forward even if the setting 'fixed billing date' is enabled.

  • Freezing a contract cannot be done on the last day of the month.

  • If you freeze a contract that has a fixed billing date the new billing dates will be based on the date that the freeze ends, not the fixed billing date previously set.

How to Freeze a Contract

To apply a contract freeze, open the Customer Profile Card in the Booker > Series > Edit series of choice > Toggle Freeze Series to On.

Schedule an upcoming freeze

Scheduling an upcoming freeze in the zingfit system will prevent that series/contract from being used to book classes within that freeze window. Doing this will prompt a Freeze Start and Freeze End Date. The Start Date must be less than the current expiration/renewal date.

What if the customer is enrolled in a class within that freeze window?

An Error will appear stating which classes are currently booked in the originally desired time frame. The freeze will not be activated until the classes previously enrolled are canceled. Once the classes are canceled in the booker, the contract/series can then be frozen in the series section of the Customer Profile card.

Active Freeze

When a Contract/Series is actively frozen, the Series/Contract will be highlighted yellow within the Customer Profile Card.

The Contract/Series freeze details will appear in the Customer Profile Card (under Series) and all changes with that freeze. Please note, zingfit only displays a history once the freeze window ends. The frozen history will not display future or current freezes.

What is the difference between freezing a contract and freezing a series?

Because Contracts have re-occurring billing and series is a one time purchase, the main difference is the upcoming billing. You must factor in the pause in automatic billing for finances on contracts compared to series where you don't.

Do class counts roll over the next billing cycle

No- just like a contract cycle, the previous class credits do not roll over upon renewal.
